Acceptance of Terms

These Terms and Conditions (“Terms”) govern access to www.campdesiroots.com (the “Website”) and registration for, and participation in, programs, camps, and events offered by Camp Desi Roots (“Camp Desi Roots,” “we,” or “us”) (each a “Program”). By using the Website or registering for a Program, you agree to these Terms. If you do not agree, do not use the Website or register.

02

Purpose

Camp Desi Roots offers Programs for youth who trace their roots to the South Asian subcontinent, including Bangladesh, Bhutan, Nepal, India, Maldives, Pakistan, and Sri Lanka, regardless of faith background. Programs are intended to be inclusive across national and religious lines.

03

Eligibility

3.1 Programs are open to youth aged 8 to 16 who trace their roots to the South Asian subcontinent, as described in Section 2, of any faith or none.

3.2 Eligibility is determined from the information provided at registration. You warrant that this information is accurate and complete.

3.3 Registration does not guarantee a place. Places are subject to availability and Program capacity.

3.4 Participants under 18 must be registered by a parent or legal guardian (“Guardian”), who is bound by these Terms and responsible for the participant’s compliance with them.

04

Registration

4.1 Registrants must provide accurate contact details, emergency contacts, and relevant medical, dietary, and accessibility information, and must update this information promptly if it changes.

4.2 We may require additional forms, including medical, consent, and waiver forms, before attendance. Participation may be refused until all required forms are received.

05

Fees and Refunds

5.1 Fees, deposits, and payment deadlines are stated at registration. A place is confirmed only on receipt of the required payment.

5.2 Cancellation by a participant: For those families that need to cancel their registration, please do so immediately by contacting the Camp Director.

Prior to May 1, any family that chooses to withdraw their camper – regardless of circumstance – will be provided a 100% refund.

After May 1, camp registration fees are non-refundable.

5.3 If we cancel a Program, we will refund the fees paid for that Program(or offer a transfer to another session). We are not liable for third-party costs incurred by the participant, such as travel.

06

Code of Conduct

6.1 Participants, Guardians, volunteers, and staff must:

(a) treat others with respect, regardless of nationality, ethnicity, faith or absence of faith, caste, language, gender, sexual orientation, disability, or background;
(b) refrain from discrimination, bullying, harassment, and hate speech, including online conduct connected to a Program;
(c) follow staff instructions and safety rules;
(d) not possess or use alcohol, illegal drugs, tobacco or vaping products, or weapons at any Program; and
(e) respect camp property and the property of others.

6.2 We may dismiss a participant for breach of this Section. The Guardian must arrange collection promptly and at their own cost. Fees are “not refundable” in the case of dismissal.

07

Health and Safety

7.1 Guardians must disclose all relevant medical conditions, allergies, medications, and accessibility needs. We will make reasonable efforts to accommodate them but cannot guarantee that every need can be met.

7.2 If a Guardian cannot be reached in an emergency, staff may arrange medical treatment for the participant. The Guardian is responsible for the associated costs.

7.3 We may require a participant to leave a Program where health or safety is a concern.

7.4 Unless stated otherwise in writing, participants are responsible for their own medical, accident, and travel insurance.

08

Assumption of Risk and Release

8.1 Programs involve activities that carry inherent risks of illness, injury, or loss.

8.2 To the extent permitted by law, you accept these risks on your own behalf and on behalf of any minor you register, and release Camp Desi Roots and its organizers, volunteers, and staff from claims arising from participation, except where caused by gross negligence or wilful misconduct.

8.3 A separate signed waiver may be required for participation.

09

Photography and Media

9.1 Photographs and video may be taken at Programs and used by Camp Desi Roots on the Website, on social media, and in promotional materials, without payment.
